(updated) Custom software to automate office data entry using a database and building future modules that will be able to provide additional internal streamline systems (such as internal payroll production)

We are requesting the development and implementation of a data entry software designed to manage invoicing, billing, payroll and shipping for a small marketing company located in Los Angeles, California. Our company hosts marketing events for our clients’ food products. The clients initiate the event orders via an Event Request Form which details client contact information, product description and event details. This form is then faxed to our sales representative who must then fill out a Job Assignment Form using the information provided in the Event Request Form. The Job Assignment Form details client contact information, billing information, product information, event dates and times, necessary supplies and product payment information. There is also a one page Program Agreement Form which details client information, event rates, rate exclusions and terms of agreement. Attached to the Job Assignment Form is a list of store locations(each with a store identifier number) where the events are to take place. The information provided in the above forms culminates into a Job Detail Report which is assigned a Job Number similar to an invoice number. The Job Detail Report contains a miscellaneous notes area and lists the event location addresses, store identifier numbers, phone numbers, area numbers and dates. Each Job Detail Report has multiple events at different locations and on differing dates all belonging to the same Job Number. Finally the information provided in the Job Detail Report must transfer to a Timesheet Form which details dates, hours, store name, store identifier number, store locations, client name and product information. The Job Detail Report has multiple job events on differing dates which must translate into a single Timesheet Form for each event. For example, if a Job Detail Report has 50 store events at 50 different locations each on a different date, then there will be 50 different Timesheet Forms created, one for each event. The Timesheet Forms are then shipped directly to the event coordinators. Our goal is to automate the process by which Timesheet Forms are created and thus expedite billing, payroll and shipping. Our software requirements are: all forms with specified data entry fields such as contact information, drop down menus to specify information such as store locations and store numbers, data transfer from form to form to minimize typing redundancy, creation of new forms to be used for billing and payroll and intranet capability with office network transparency. We are looking for local software engineers based in Los Angeles who will detail their estimation approaches with the pros and cons of their chosen code configuration. We are available for the input and review process and will pay a flat job completion sum.
