IMPROVEMENT ABOUT MS ACCESS-MS OUTLOOK LINKING FEATURE. (DEAR FREELANCER: PLEASE DO NOT BID WITHOUT READ DETAILS, PLEASE BID A REALISTIC RATE AND STAY BEHIND YOUR BID WITHOUT CHANGE.)

MS ACCESS has "linking of database" Feature which that Links MS OUTLOOK database to any MS ACCESS template, That function developed later with many more features, (Such “Smart Tags”)

But Since MS Office 2010 and upper versions the “linking” and “smart tag” features do not work properly.

MS OUTLOOK items and fields are not linking and spread into MS access table properly while most of fields are not in right columns.

(ITEM means outlook items: task, email, draft, appointment, contact, etc.

FIELD’s means which exist in property of each outlook items such for email the fields are sender, receiver, date, flag, importance, subject, body, attach etc)

TARGET: Our project focus to SOLVE stated complications as below!

1- Outlook "folders", "folder items", "item field’s will be linked in Separate Access tables each item in row and item's each field in each column (As Usual in Linking feature)

-Inbox

-Sent

-Draft

-Task

-Contacts

-Notes

-Calendar

-Journal

and user folders. (If sub-folder exist in outlook also sub-tables at access)

These MS access tables will have form view! Item’s Form view must be same view like in ms outlook such with common function buttons (Save, Reply, Forward, Flag, Add Task, Delete, Add)!

"But this is not mean MS ACCESS to have email forwarding feature” WE WILL NOT USE MS ACCESS AS MAIL CLIENT!

The button’s are just macros activating related outlook command. The buttons activate command directly in outlook for the item selected,

MS Outlook will be used as “INTERFACE” for these commands built in access form for common actions; send, reply, forward, attach, delete flag ie,

(BUT: when we do click a macro in that access form then it is NOT mean switch of window to outlook with a blank mail NOR outlook window appear to user in general view!!!, or NOT the outlook inbox or contact/task list to appear, SO THE MACRO TO ACTIVATE COMMAND IN OUTLOOK FOR "SELECTED" SPECIFIC ITEM.)

2- The email must be in HTML view format in ACCESS FORM but in their table’s cell the text might be embedded as plain, Imported email bodies might contain some images, png, gif, scripts or macro when linked to the access. Those cause risk and must be avoided in access template!

So if any image, macro, script or similar existing at the mail imported, they must be filtered when linking session start and prompt user asks options: "convert plain text" or "keep html format without content" (in that case format keep without image) or user might trust to email sender and choose "keep all original".

(if image exist in body of mail, then the file which in body will be saved as attachment as item-3)

3-As like as mail fields linked to access columns also attachments will be imported as hyperlink,

Attachments will save in a folder with rename them as: "[login to view URL]" those will be stored in a folder created by Ms access.

4- Access-outlook linking works bi-directional, This is usual.

Such when email or task item flag value change in access table, the item in outlook also flag, (vice-versa)

5- Any interrupt or crush risk must be avoided, Therefore database files will be apart from active working files at each session, “recover to a back point” and “backup” options must be exist.

Normally linking feature work real-time. But in our template Linking feature to have on-off options which disconnect-connect two database. That can be as add-in “ON” “PAUSE” “OFF”

“When its turn “ON” ONLY changed ITEMS to exchange between 2 database compare based change date of item. BUT NOT TO EXCHANGE ALL ITEMS EVEN NOT TOUCHED.

6- THAT TEMPLATE must work in versions from 2007 and upper. The template must be able import/export between other access files.

7- Old "SMART TAGS" feature to be adopted and must work in this template.

Developers who use MS Office 2007-2010 are aware about means MS OFFICE “smart tag” feature while this is not exist in current versions. you can review “MS OFFICE SMART TAG” from search motors..
